Vaylo Studios ("we", "us", or "our") operates the CalPal mobile application (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

1. Information We Collect

We collect information you provide directly to us:

  • Account Information: Email address, name, and password when you create an account
  • Calendar Data: Events, calendars, categories, and scheduling information you create
  • Work Templates: Custom work schedule templates and configurations
  • Images for AI Processing: Photos you submit to the AI Schedule Scanner (processed and not stored)
  • Usage Data: How you interact with the app, features used, and preferences
  • Device Information: Device type, operating system, and unique device identifiers
  • Purchase Information: Subscription status and transaction identifiers (payment details are handled by Apple)

2. How We Use Your Information

  • To provide and maintain the CalPal service
  • To sync your calendar data across devices
  • To enable calendar sharing with other users you invite
  • To process AI Schedule Scanner requests
  • To verify and manage your subscription status
  • To send service-related notifications
  • To improve and personalize your experience

3. AI Features and Third-Party Processing

CalPal uses artificial intelligence to power the Schedule Scanner feature. When you use this feature:

  • Images are sent to OpenAI's API for text extraction and processing
  • Images are processed in real-time and are not stored by us or OpenAI after processing
  • Only the extracted event data (dates, times, descriptions) is saved to your account
  • We do not use your images to train AI models

By using the AI Schedule Scanner, you acknowledge that your images will be processed by third-party AI services. Do not submit images containing sensitive personal information beyond scheduling data.

4. Data Sharing

We do not sell your personal information. We may share data with:

  • Other CalPal Users: When you share a calendar, invited users can see events according to their permission level (view, edit, or admin)
  • Service Providers: Cloud hosting (secure servers), AI processing (OpenAI), and analytics providers who help us operate the service under strict confidentiality agreements
  • Apple: For subscription verification and payment processing
  • Legal Requirements: When required by law, court order, or to protect our rights and safety

5. In-App Purchases & Subscriptions

CalPal offers optional premium subscriptions through the Apple App Store:

  • Payment Processing: All payments are processed by Apple. We do not collect or store your credit card information.
  • Subscription Plans: Monthly ($2.99/month) and Annual ($29.99/year) options are available
  • Automatic Renewal: Subscriptions automatically renew unless canceled at least 24 hours before the end of the current billing period
  • Cancellation: You can manage and cancel subscriptions in your Apple ID account settings at any time
  • Refunds: Refund requests are handled by Apple according to their refund policy

Subscription verification data (purchase status, expiration dates) is stored locally on your device and verified with Apple's servers.

6. Data Security

We implement industry-standard security measures to protect your information:

  • All data is encrypted in transit using HTTPS/TLS
  • Passwords are hashed using secure one-way algorithms
  • Access to user data is restricted to authorized personnel only
  • Regular security audits and monitoring

However, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security of your data.

7. Data Retention

We retain your personal data for as long as your account is active or as needed to provide you the Service. You may request deletion of your account at any time, which will result in removal of your personal data and calendar information from our servers within 30 days, except where we are required to retain data for legal purposes.

You have the right to:

  • Access: Request a copy of your personal data
  • Correction: Request correction of inaccurate data
  • Deletion: Request deletion of your account and associated data
  • Export: Export your calendar data
  • Opt-out: Opt out of marketing communications

9. Children's Privacy

CalPal is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If we learn we have collected personal information from a child under 13, we will delete that information promptly.

10. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. These countries may have data protection laws different from your country. By using the Service, you consent to the transfer of your information to the United States and other countries where we operate.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page, updating the "Last updated" date, and/or notifying you through the app. Your continued use of the Service after changes constitutes acceptance of the updated policy.
